Advantages of Formal Communication
Following are the advantages of Formal Communication where prescribed rules and regulations are followed by the organization in a strict way. Points regarding formal communication are given below:
1) Flow of communication
In formal communication, information moves through channels of formal communication. In this messages or any information are sent through the selected person and difficulties of leakages of information are less.
2) Punctuality in discipline
As Formal communication is concerned, rules and regulations and maintenance of proper discipline are followed in an efficient manner by the employees of the organization in terms of behavior, in terms of performance and mostly in terms of communication.
3) Accuracy in information
In Formal communication systems, the degree of accuracy in information in comparison to informal communication is high. Because it maintains all the rules and regulations and procedures, it sends messages through a predetermined channel of formal communication.
4) Efficiency in performance
Efficiency in performance increases in the organization by clear and effective communication. Organization management is able to increase the performance of all the employees and is able to achieve desired results by following prescribed rules and regulations of the organization.
5) Reliable information
Degrees of accuracy are very high in formal communication. The messages or information provided by channels of formal communication are more reliable and more credible.
6) Effective control
In formal communication superiors (Top level) of the organization generally maintain relations with their subordinate as well as employees in a formal way. Such as, responsibility and their task are properly fixed, every individual fully aware of their responsibility. Hence, there is effective control overall of the organization by the Top level superiors.
Disadvantages of Formal Communication
There are following points regarding disadvantages of formal communication, are given below:
1) Lack of flexibility
All the activities of the organization are governed by following a set of rules and regulations. No one could convey any messages or information which are not concerned with organization. Although, this is the rigid form of communication.
2) Time consuming process
The process of formal communication is very time consuming. Because sending any kind of information goes through several processes which are actually very lengthy. Basically, It consumes a lot of time to access information to its destination.
3) Delay in decision making activities
One is not able to communicate directly to the top level executives in formal communication. Everyone has to follow specific rules and regulations through which movement of communication requires more time. This will result in delay in decision making.
4) Lack of Harmony
There is no harmony in the organization because all the activities are governed in a strict manner. Prime importance is given to follow the organization formalities not to the employee's side in formal communication. No one can establish any kind of informal relationship in the organization.
5) Fear
Any activity which is unethical if observed by the organization then he will be punishable. This is a big fear and employees feel frustrated to convey or leak any information within the organization. This will generally exist in the upward communication process.
